Events & Hospitality Coordinator

PuSh International Performing Arts Festival
Reporting to the Managing Director, the Hospitality and Events Coordinator is responsible for ensuring that hospitality requirements of Festival artists are being serviced as contracted, and/or as determined by PuSh, and for coordinating ancillary events to the PuSh Festival, including the Industry Series.
PuSh will provide access to a vehicle for the duration of the Festival for use by the Hospitality and Events Coordinator if necessary.
The Hospitality and Events Coordinator supports the work of the Festival Producer, Industry Producer, Artistic Director, Managing Director, and Development Associate, and acts as an advocate of the PuSh International Performing Arts Festival Society (PuSh) to arts professionals, various stakeholders and the community at large.
RESPONSIBILITIES OF THE ROLE
Hospitality:
- Coordinate requirements of Festival artist hospitality and select Festival events in consultation with Managing Director, Artistic Director, Industry Producer and Festival Producer, including:
- Review artist hospitality requests in collaboration with Producer and Production Manager;
- Advance hospitality needs with artists as required;
- Advance event catering and hospitality;
- Manage and/or work within the constraints of Festival Hospitality Budget;
- Coordinate the purchase, delivery and implementation of all Festival artist hospitality rider requirements.
- In collaboration with the Festival Producer, arrange for delivery of welcome packages for Festival artists.
- Support the Volunteer Coordinator in scheduling, supervising and assisting in training of Festival Hospitality volunteers and provide feedback on their performance to Volunteer Coordinator
Events:
- Develop an Events Plan (in the Fall) in consultation with the Managing Director, Artistic Director, Industry Producer, Festival Producer and Development Associate
- Develop and manage events budget, and bottom-line events from conception to completion, managing all aspects to ensure seamless delivery
- Work with the Managing Director and Development Associate to manage stewardship of Festival and event sponsors, and the donation of event supplies including catering
- Support Volunteer Coordinator to supervise and assist in the training of Festival event volunteers and provide feedback on their performance to Volunteer Coordinator
- Obtain licenses for liquor and other legal requirements as needed
- Arrange and schedule pick up and return of all materials, décor and food for events, including festival recognition signage as necessary
- Act as contact person for the involvement of any artists and VIPs in Festival receptions and other artist events
General:
- Attend production meetings of the staff and contractors as scheduled by the Managing Director
- Represent the Society at events and meetings as necessary
- Participate in the Festival and other activities as necessary
- Support the efforts of the Society and other Society personnel as necessary
- Other duties as required
